How to Combine Multiple Google Calendars Into One

It can be complicated to have multiple calendars at a time, potentially leading to missed meetings and conflicting schedules. Whenever you get an invite to an event or meeting in your Gmail account, it will get added to the corresponding Google Calendar. But what if you have multiple Gmail accounts and Google calendars? The answer is to merge Google calendars, so you only need to visit one page for all your planning and scheduling needs. Let us show you how!

Combining Google Calendars

If you have a personal Gmail and a work Gmail, or multiple accounts you'd like to see in one calendar here's an easy way to combine them:

  1. Sign in to one of your Google calendar accounts in an internet browser.
  2. On the left-hand side, you'll see a section that says 'Other calendars.' Click the plus sign next to it, then select 'Subscribe to calendar' in the drop-down menu.

3. Next, add the email address for the Gmail account you'd like to add to your calendar. This will prompt a popup message that says you don't have access to that calendar. Use the form to request access.

4. Then, all you need to do is receive approval, which if you're merging your own calendar is as easy as clicking a link in your email. You'll then be able to see events from both Gmail accounts on one calendar.

You can also add public calendars such as sporting events and holidays. To do this, follow the steps above, but select 'Browse calendars of interest' instead of 'Subscribe to calendar'. This will bring up a list of public calendars to choose from. Just check the box next to the calendars you'd like added to your account, and these events will show up on your calendar!

Exporting Google Calendar Events

If you want to merge all of your events into one single calendar, you can use the export and import function to do so. However, this solution doesn't automatically sync as you add new events on your other Gmail instances. This means that you'd need to perform the steps below regularly in order to keep your calendars merged and up to date! It's a great solution if you're getting rid of an old Gmail account, and need to switch all events to a new one or in similar situations.

  1. In an internet browser, open the Google calendar you'd like to export to a different Google calendar instance.
  2. On the left side of the page, find the 'My calendars' section, and click on the three dots next to the calendar you'd like to export. Then click 'Settings and sharing' in the drop-down menu.
  3. Beneath 'Calendar settings,' click 'Export calendar'

4. Clicking this button will start the download of a .ics file containing all of your events. Once the file has downloaded, you're ready to import the file to another Google calendar.

5. Open the calendar you'd like to import your events to, and click the gear icon in the top right corner. Then, select 'Settings' from the drop-down menu.

6. On the left-hand side, click 'Import & export' then select Import.

7. Click 'Select file from your computer' and select the .ics file you just downloaded. Then make sure you select the calendar you'd like to add these events to in the 'Add to calendar' dropdown.

8. Press the 'Import' button, and there you go! A pop up will confirm that the events have been added to your calendar.

Keep in mind that this is a one-time upload of your events, and changes to your original calendar won't continue to sync to your current calendar.
